The “Screenshot Pack” Every Traveler Should Have Before a Trip

One of the best travel tips I can give you has nothing to do with packing cubes, suitcases, or even where you’re going.

It’s something much simpler.

Your screenshot pack.

Because here’s the truth: Wi-Fi is not always reliable, and neither is cell service. Airports get overloaded, international roaming can be spotty, and sometimes you’re just in a place where service disappears completely.

The last thing you want is to be standing in an airport, rental car line, or hotel lobby trying to pull up a confirmation email that won’t load.

So before every trip, I recommend creating a “screenshot pack” on your phone with all of your important travel details saved offline. It takes about 5 minutes and can save you a lot of stress while traveling.

What to Screenshot Before You Travel

Here’s exactly what I recommend saving to your phone before leaving for a trip.

Flight Details

Make sure you screenshot:

  • Your flight confirmation email

  • The airline record locator/confirmation number

  • Your flight times and numbers

If an airline app isn’t loading or airport Wi-Fi is slow, you’ll still have everything you need. Believe me - when you’re in line trying to get the app to cooperate, it’s not going to. I’ve been there and learned the hard way!

Hotel or Resort Information

Always save:

  • Hotel/resort confirmation

  • Address of the property

  • Check-in time and instructions

This is especially helpful when arriving late at night or when giving directions to a taxi or rideshare driver.

Transportation Details

If you have transportation arranged, screenshot:

  • Airport transfer instructions

  • Shuttle pickup locations

  • Rental car confirmation numbers

  • Ride service instructions

Transportation details are often buried in emails, so having them quickly accessible is a lifesaver.

Boarding Passes

Once your airline releases boarding passes, save them to:

  • Your phone wallet

  • Screenshots in your camera roll

That way you can access them even if the airline app isn’t cooperating.

Passport & ID Information

For international travel, take a secure screenshot or photo of:

  • Your passport photo page

  • Driver’s license or ID

Store these safely on your phone in case you need to reference them quickly.

Travel Insurance Information

If you purchased travel insurance, screenshot:

  • Policy number

  • Emergency contact phone numbers

  • Claim instructions

You hope you never need it—but if you do, you’ll be glad you have it ready.

Important Reservations

Save confirmations for anything booked in advance such as:

  • Dining reservations

  • Excursions or tours

  • Event tickets

  • Theme park passes

Nothing slows down vacation fun like digging through emails for reservation details.

Maps of the Area

Save a map of your destination with important places pinned like:

  • Your hotel

  • Must-see attractions

  • Restaurants you want to try

  • The nearest pharmacy or grocery store

Having this available offline is incredibly helpful when exploring a new place.

Important Contacts

Screenshot or save contact information for:

  • Your hotel

  • Tour company

  • Airline

  • Transportation company

  • Your travel advisor

Having these numbers easily accessible can make problem-solving much faster.

Special Instructions

Finally, save anything with special instructions like:

  • Door or gate entry codes

  • Check-in instructions

  • Entry requirements

  • Luggage policies

These details are easy to forget but important when you arrive.

My Favorite Organization Trick

Before every trip, I create a folder in my photos called “TRIP.”

Every screenshot goes into that folder so everything is in one place and easy to find.

It’s simple, but it makes travel days so much smoother.

Want Stress-Free Trip Planning?

One of the best parts of working with a travel advisor is that you don’t have to track down all these details yourself.

When you book a trip with me, I make sure my clients have all their travel information organized and easy to access before they leave so they can focus on what actually matters: enjoying their vacation.

If you’re thinking about planning a trip—whether it’s Disney, a cruise, or a family vacation—I’d love to help make it easy and stress-free.
